Artificial intelligence can support productivity, service delivery and better decision-making, but successful adoption involves more than choosing a tool. Organisations also need clear goals, capable people, reliable information and appropriate safeguards.

This checklist helps UK small and medium-sized businesses, charities and schools assess their current position. It is a practical conversation starter, not a technical audit or a formal compliance assessment.

Important: This checklist does not replace advice from your data protection, safeguarding, legal, HR, IT or information security specialists.
Watch for shadow AI: Employees may use personal ChatGPT accounts or other consumer AI services when an approved business tool or clear guidance is not available. Identify which tools are being used, provide a safe route for legitimate needs and explain why organisational information must not be entered into unapproved services.
